Parts & Warranty Administrator (PETERBOROUGH)

Summary:

Durham Truck & Equipment is a Heavy Truck Dealership with locations in both Ajax & Peterborough. We are currently looking for a full-time Parts & Warranty Administrator for our Peterborough location. The candidate must have a minimum of 1 year of experience in the Heavy Truck and/or Automotive Service industry. The ideal candidate must have a high level of confidence and be a high performer, juggle competing demands and be able to work under pressure, as well as bring a high degree of customer service excellence to this role.


Job Description:
  • Handle counter inquiries and customer walk-ins
  • Alternate repair orders to warranty. Research and record labor codes and casual parts and invoice in Fusion. Upload and submit claim via UCHP. Check on credit status and record when paid. Follow material instructions and send or scrap parts accordingly. Sort and send scrap parts and cores with proper documentation of contents.
  • Keen understanding of warranty work, verification and service contract coverage documentation
  • Follow up on warranty status, ensuring best possible outcomes on warranty reimbursement claims
  • Follow up on overage of parts orders, checking inventory
  • Report and troubleshoot technical difficulties (i.e. when Fusion and the phone system go down)
  • Ability to work back-up to the Service Advisor/Writer and add/move parts and labor and write stories onto repair orders
  • Balance parts receiving with invoices from Mack, Volvo or Isuzu. Merge, split and edit price/quantity accordingly. Create tape total for invoice via accounting calculator and attach with invoice.
  • Handle all petty cash receipts, submit for reimbursement to head office and balancing till and submit for bank deposit
  • Gathering parts, driver invoices and p.o.'s for approvals and charges through to collect payment
  • Housekeeping of Branch 2, including stock reordering - marketing material, kitchen and cleaning supplies
  • Keen eye for problem solving and corrective actions in either parts, repair orders and warranty work
  • Continuous personal improvement and updating job knowledge by participating in external/internal educational (online/in-class) manufacturers training opportunities and trade publications
  • Create physical inventory count sheets. Count and record inventory every 4-6 weeks. Delegate some inventory counting to available coworkers. Update physical count in Fusion. Print and send paper copies to Branch 1.
  • Scan parts driver invoices into Deliver It. Order according to geography/priority. Create return points to our shop and pick-up points in Ajax.
  • Correspond with Parts Driver throughout the day via walkie-talkie and email regarding delivery/pick-up logistics
  • Act as a secondary Parts Driver utilizing company vehicle to assist with backlog of customer orders

Senior Accounts Payable Administrator (AJAX)

Summary:

Durham Truck & Equipment is a Heavy Truck Dealership with locations in both Ajax & Peterborough. We are currently looking for a full-time Senior Accounts Payable Administrator for our Ajax location. The candidate must have a minimum of 3-5 years of experience in the Accounts Payable role, with a strong grasp of GAAP and accounting fundamentals. The ideal candidate must have a high level of confidence, strong attention to detail, be a high performer while juggling competing demands, has the ability to work under pressure as well as bring a high degree of customer service excellence to this role. Preference will be given to a candidate with previous Automotive/Heavy Truck dealership experience.


Responsibilities:

  • All A/P posting for invoices for MACK & VOLVO, ISUZU, CUMMINS and other vendors

o   ensuring receiving costs and invoiced costs are accurate and are referenced

o   ensuring appropriate signatures of authorization, and paperwork including MPO's & packing slips are attached

o   allocate costs to appropriate GL's, schedules, etc.

o   apply HST and RITC costs to invoices where needed

  • Check open MPO's monthly to see why they have not been posted to an invoice
  • All cheque processing
  • Set-up new vendors as required
  • Send out credit applications as needed
  • Maintain AP filing, weekly, monthly and at year end, to point of storage
  • Posting LPO entries for new trucks
  • Post source deductions
  • VFS entries
  • Maintain all records and balance petty cash on a weekly basis
  • Month end responsibilities include but are not limited to:

o   match statements to invoices

o   obtain any missing invoices and corresponding purchase orders, make tape totals for monthly balances

o   run monthly batch payments, match vendor statements/invoices to report

o   select invoices for payment and when complete, run cheque and distribute

  • Provide back-up where necessary in the accounting department, including relief on reception desk
  • Enhancing the organizations reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments


Qualifications:

  • 1-5 years Accounting and A/P experience
  • Solid understanding and practical knowledge of Excel
  • Excellent customer service and communication skills

  • Superior problem solving abilities
  • Organized and detail oriented, with the ability to spot errors or gaps
  • Work under minimum supervision, reporting to Accounting Manager

Service Advisor, Foreman and 310T Technician (AJAX)

Who We Are:

We are a progressively growing Heavy Truck Dealership in Southern Ontario.

Our ideal candidate must have a minimum of 3 to 5 years experience in the Heavy Truck Service Industry. He/she must be a high performer, juggle competing demands and be able to work under pressure, and bring a high degree of customer service excellence to this role. 310T license technician/apprentice is preferred.

Job Description:

  • Handle counter service calls and customer walk-ins, coordinating work loads.
  • Book appointments, opening and processing work order with accurate and complete customer information (i.e. ownership).
  • Scheduling mechanics and manage workflow of repair orders in service bays, ensuring technicians and apprentices are managing work expectations and keeping within the required times per job to meet the service departments efficiency targets consistently.
  • Ensuring availability of parts and timing of shipments to ensure continuity of business flow.
  • Diligence in posting on-going "task" updates on work orders, increasing front-end accuracy and decreasing back-end workloads, as well as decreasing lost revenues to the service department.
  • Customer "on-time" diagnosis follow up, ensuring our customers are aware of updated through the repair processes.
  • Understanding warranty work, verification and service contract coverage documentation.
  • Develops estimates by costing materials, supplies and labour; calculating customers payment, including deductibles.
  • Prepares repair orders (RO) by describing symptoms, problems, and causes discovered, as well as repairs and services required; obtaining approval signatures; entering RO into service database system.
  • Invoicing, maintaining records and accuracy for problem solving and corrective action and all work performed in the service department.
  • Maintains customer rapport by explaining estimates and expected return of vehicle; obtaining customer's approval of estimates; obtaining and providing contact telephone numbers; answering questions and concerns; arranging towing and temporary transportation.
  • Keen eye to build our customer database, increase productivity and manage people and tasks proficiently.
  • Ascertains automotive problems and service by listening to customer's description of symptoms; clarifying description of problems; conducting inspections; checking vehicle maintenance records, examining service schedules.
  • Hands on repairs where needed; adding expertise and experience to the shops apprentice and more junior technicians
  • Continuous personal improvement and updating job knowledge by participating in external/internal educational (online/in-class) manufacturers training opportunities and trade publications.

310T Technician (AJAX)

Candidate must have a minimum of 3 to 5 years' experience in the Heavy Truck and/or Automotive Service Industry. They must be a high performer, juggle competing demands and be able to work under pressure, as well as bring a high degree of technical expertise to this role.

 

Job Description:

  • Perform diagnostics tests for routine and complex maintenance procedures
  • Determine a course of action for damaged parts and systems
  • Ability to communicate succinctly to the job Foreman and/or Service Advisor on repair analysis
  • Accurate diagnosis (symptoms, problems and causes)for the work to be performed and obtain approvals for work orders
  • Document all ongoing procedures on work orders including diagnostic codes, work to be performed and completed, parts ordered - complete and legible stories.
  • Accuracy in recording all stories on work orders to increase service revenues
  • Understand and work within job time lines to meet productivity quotas
  • Hands-on repair requirements to be followed for all required work to be performed
  • Test drive vehicles pre and post repairs for accurate assessments
  • Building on "Best in Class" customer service, ensuring all service, repairs and operational aspects of the vehicle when leaving our service department are in excellent working order with potential for additional value added revenues
  • Continuous personal improvement and updating job knowledge by participating in external/internal educational (online/in-class) manufacturers training opportunities and trade publications by required deadlines
  • Adhere to Health & Safety Policy within the shop environment at all times, includes wearing all prescribed PPE


Qualifications:

  • 3-5 years' experience in Heavy Equipment/Automotive Service (REQUIRED)
  • Standard Ministry of Transportation "G" license
  • 310T Certification
  • Excellent written and communication skills
  • Work under minimum supervision, and reports to Service Manager
  • Physical strength with the ability to lift up to 50lbs
  • Ability to work in awkward and various positions at time with manual dexterity
  • Able to work in a noisy environment
  • Superior problem solving abilities
